SALES AND EVENT MANAGER, HOPE OUTDOOR GALLERY 

Job purpose

The Sales & Event Manager is responsible for overseeing the sales and events team, strategy, and planning. They will be responsible for managing inbound and outbound sales leads, event leads, and fulfillment from initial inquiry through execution and settlement. They will be responsible for aspects of planning, managing onsite activations, sponsor relationships, events calendar, vendor relationship, and event paperwork. This person will support all areas of HOPE Outdoor Gallery, and the Director of Park Operations when needed.  

 Duties and responsibilities

Responsibilities Include but are not limited to: 

  • Building and creating strategic partnership plans.
  • Building, fostering, and maintaining sponsorship and partnership relationships.
  • Create and manage sales assets for the HOPE Outdoor Gallery. 
  • Integrate strategic partnerships and sponsors into HOPE signature events. 
  • Establish, develop, and assist with HOPE Signature events that will be held onsite.
  •  Manage private event and site rental calendar. 
    • Manage incoming rental inquiries and pipeline via calendar, event booking  and Client Relationship Management software(CRM)
    • Client planning sheet
    • Vendor recommendations 
    • Blank floor plan of space
    • Permit requirements 
  • Sets up meetings and deadlines (walk through, wrap-up, rehearsal) with clients. 
  • Liaise with the Director of Park Operations on the HOPE Outdoor Gallery Calendar to ensure that there is no conflicting of dates or logistics. 
  • Field ongoing questions, and inquires. 
  • Builds event and activation budgets and staffing plans for excellence in execution. Manages day-of event schedules to ensure all contract(s) obligations are met.

 Work Location & Schedule

Position is located in Austin, Texas. This job will entail nights and weekends.

CONTROLLER, HOPE OUTDOOR GALLERY

Job purpose

This position will oversee HOPE Outdoor Gallery’s financial operations. Perform moderately complex accounting work involving preparation, posting, maintenance, review of records, documents and reports for expenditures. Work involves entering, analyzing and reconciling, financial transactions related to HOPE Outdoor Gallery’s revenue and expenditure.

 

This to include developing or assisting in developing non-standard reports such as detailed cost and financial analysis, forecasts, trend analysis and projections. Verifies accounts and reconciles and analyzes entries, transactions, ledger and reports. Provides assistance with and verifies required documents are completed, reviews for accuracy and submits to appropriate staff for further processing, as required. Assists departmental staff by providing procedural/financial information. Monitors compliance with Generally Accepted Accounting Principles (GAAP). Maintains accounting controls and financial security by following policies and procedures and internal controls.

 

 

Duties and responsibilities

Responsibilities Include but are not limited to: 

  • Prepares work billings and invoices for internal and external entities.
  • Organizes and maintains accounting records and documentation, processing financial transactions, and maintains effective working relationships with other employees and officials, representatives of outside agencies, and the general public.
  • Ensures compliance with State and Federal rules and regulations. 
  • Receives, records, processes and analyzes cash receipts, fixed assets, pooled cash, purchase orders, payroll, travel and other general accounting transactions. Reviews and verifies accuracy of transactions and information, resolves discrepancies, obtains required authorizations and processes or prepares and submits transactions for further processing.
  • Reconciles and maintains bank statements, ledger balances and other accounting transactions. Verifies account entries and reconciliation work completed by others. Monitors accounts and line item budget balances and expenditures to ensure that transactions are within budget. Refers problem transactions to higher level staff for assistance and problem resolution. Maintains information and creates and monitors electronic files and/or accounting documents.
  • Prepares periodic financial reports by collecting, analyzing, and summarizing account information and trends. Produces various spreadsheets and reports using established or other formats. Submits reports to appropriate staff for review and further action.
  • Assists department staff and other clients by providing procedural/financial information and/or other information and guidance with automated or manual systems. Provides assistance with and verifies required documents are completed, reviews for accuracy and submits to appropriate staff for further processing, as required. Instructs staff in entering information into the accounting system, as required.
  • Maintains accounting controls and financial security by following policies and procedures and internal controls.
  • Performs other job-related duties as assigned.

Qualifications and Skills  

Qualifications include:

  • Bachelor's degree in Accounting, Finance or a directly related field AND two (2) years of increasingly responsible relevant professional level accounting or financial analysis experience. Master's degree in Accounting, Finance or a directly related field may substitute for the two (2) years required experience.
  • Must work well in Google Documents. 
  • Must work well in a fast paced environment.
  • Must work well in a team setting. 

 Work Location & Schedule

Position is located in Austin, Texas. This position will be required to have onsite office hours, and has the ability to work remote. This job could entail some nights and weekends.
